Passerelle (hereafter "the Journal") is unequivocally committed to protecting the privacy and personal data of its authors, reviewers, and users. This policy outlines the principles and practices governing the collection, use, and security of all personal data processed through our official website and editorial system (OJS).

This policy is designed to be transparent and to comply with the highest standards of data protection.

II. Data Collection and Use

The Journal collects personal data strictly necessary for the scholarly publishing process. This information includes, but is not limited to:

  • Names
  • Email Addresses
  • Professional Affiliations
  • ORCID iDs

This data is collected for the sole and limited purpose of managing the manuscript lifecycle. This includes:

  1. Communicating with authors and reviewers regarding submissions.
  2. Facilitating the confidential peer review process.
  3. Publishing accepted articles (where author names and affiliations are made public as part of the scholarly record).
  4. Disseminating published content via indexing and abstracting services.
  5. Internal record-keeping and statistical analysis of journal performance.

III. Confidentiality and Data Security

Passerelle treats all personal data with the utmost confidentiality and security.

  • Reviewer Anonymity: The names, contact details, and any identifying information of peer reviewers are treated as strictly confidential and are never disclosed to authors or other third parties, in accordance with our Peer Review Process.
  • Data Security: The Journal implements all reasonable technical and administrative measures via the OJS platform to protect personal data from unauthorized access, loss, or misuse.
  • Non-Commercial Use: Passerelle will never sell, rent, lease, or share personal data with any third-party marketing organization.

IV. Data Sharing and the Scholarly Record

To ensure the proper dissemination and indexing of published work, Passerelle shares essential metadata with third-party scholarly services.

This includes sharing author names, affiliations, and ORCID iDs with services such as Crossref (for DOI registration) and ASJP, as well as other abstracting and indexing services where the journal is listed. This sharing is a necessary, non-commercial component of the scholarly publishing lifecycle.

V. Data Retention and User Rights

Users (such as authors and reviewers) may access and correct their personal information at any time by logging into their user profile on ASJP.

However, a distinction must be made between personal profile data and the permanent scholarly record.

  • The Permanence of the Scholarly Record: Personal data associated with a published article (i.e., author names and affiliations) is considered part of the permanent, immutable scholarly record. This data cannot be removed or anonymized post-publication, as this would compromise the integrity of the academic record.
  • Corrections to Published Work: Any necessary corrections to published author information (such as a name change or affiliation update) will be handled not by deletion, but by the publication of a formal Corrigendum, as detailed in our Withdrawal / Retraction Policy.
